This Explicit Consent text has been prepared by the Organising Committee of ITECX International Congress (the “Organising Committee”) under paragraph 1 of Article 5 and Articles 6 and 9 of the Personal Data Protection Law No. 6698 (“KVKK”) in respect of optional personal data processing activities that may be carried out solely on the basis of your explicit consent. This text should be read together with the Privacy Notice (KVKK).

Processing relating to the essential elements of congress participation — such as account creation, paper submission, peer review, registration and payment, issuing certificates and publishing the proceedings book — is not based on explicit consent but on the other legal grounds set out in the Privacy Notice. Therefore, not giving the consents below does not prevent you from taking part in the congress.

1. Nature of Explicit Consent

Within the meaning of the KVKK, explicit consent is consent relating to a specific matter, based on information and expressed with free will. Accordingly:

  • each consent item below is independent of the others; you may accept or refuse each one separately,
  • no consent is required as a precondition for using the congress services,
  • you may withdraw any consent you have given at any time, without giving any reason.

2. Processing Subject to Explicit Consent

2.1. Publication in Promotional Materials and on Social Media

Publication of your first name, surname, academic title, institution and photographs or video footage taken during the congress on the congress website, the congress’s social media accounts, in press announcements and in promotional materials for future editions. Such content becomes publicly available and may be viewed by third parties.

2.2. Sharing for Academic Networking

Sharing your first name, surname, institution, areas of expertise and e-mail address with other congress participants for the purpose of academic cooperation and networking.

2.3. Announcements of Future ITECX Events

Processing your first name, surname and e-mail address in order to send announcements, invitations and informational e-mails about ITECX congresses and similar academic events to be held after ITECX 2026. Essential notifications relating to the current congress (e.g. paper decisions, registration, payment and programme information) are sent irrespective of this consent.

2.4. Transfer Abroad

Transfer of your identity, contact, professional and submission data to scientific committee members, reviewers and service providers located abroad for the purpose of conducting the congress processes, in cases where none of the adequacy decision, appropriate safeguards or other transfer conditions set out in Article 9 of the KVKK can be applied.

2.5. Health Data Relating to Accessibility Needs

Processing of health information that you voluntarily share so that your accessibility or special support needs can be met, solely for the purpose of meeting those needs and only by secretariat staff assigned to this task.

3. Consequences of Not Giving Consent

Not accepting any of the consent items above does not affect your account creation, paper submission, peer review, registration, payment, issuance of certificates or inclusion in the proceedings book. The absence of consent only means that the relevant optional processing will not be carried out; for example, if you do not give consent item 2.4 and no other transfer condition applies, your data will not be transferred abroad.

Only in exceptional cases where consent is strictly necessary by the very nature of a service may that service not be provided without consent. For example, a special accessibility arrangement based on health information cannot be made without consent item 2.5; this does not, however, prevent you from taking part in the congress.

4. Recording and Withdrawal of Consent

Your approvals and consents are recorded together with the type of consent, your e-mail address, IP address, browser information and a timestamp. To withdraw your consent, in part or in full, at any time you may:

  • send an e-mail from the e-mail address registered in the system to info@itecx.international, specifying the consent item you wish to withdraw,
  • update your preferences on your profile page in the participant panel.

Withdrawal of consent takes effect for the future and does not affect the lawfulness of processing carried out on the basis of consent before withdrawal. Following your withdrawal request, the relevant processing is stopped and content published online is removed within a reasonable time; however, it may not be possible to recall materials that have already been distributed in print.

5. Declaration

When you give consent by ticking the relevant checkbox in the system or in writing, you make the following declaration:

“I have read and understood the Privacy Notice (KVKK) and this Explicit Consent text prepared by the Organising Committee of ITECX International Congress. Of my own free will, I consent to the processing of my personal data only within the scope of the consent items I have accepted and limited to the purposes set out in this text. I understand that I may withdraw my consent at any time.”
